Christmas EPOS Checklist: What to Sort Before December

The best time to prepare your EPOS for Christmas is October. Every change made in December is made in a hurry, on a live till, by people who are already stretched.

Last year showed how much rides on those few weeks. Managed pub groups grew like-for-like sales by 5.1% in December 2025, one of their strongest months of the year, according to the NIQ RSM Hospitality Business Tracker reported by The Morning Advertiser. Restaurants managed 0.8% and bars fell 1.7%.

Then January arrived. Across pubs, restaurants and bars, like-for-like sales slipped 0.1% in January 2026, with bars down 4.9% on the year before, according to RSM.

December’s takings have to see most venues through the quietest stretch of the year. That is why a till that freezes on a Friday in December costs far more than the same fault in March. Here is what we suggest working through before the first Christmas party walks in.

Why does Christmas preparation start with the till?

Because almost everything else depends on it. Festive menus, party pre-orders, kitchen tickets, card payments and the stock count on 2 January all pass through your EPOS system. When the till is wrong, the mistake spreads into every one of them.

Christmas 2026 also has an awkward calendar. Christmas Day falls on a Friday and Boxing Day on a Saturday, so the substitute bank holiday is Monday 28 December. If you change prices, opening hours or staff rates for bank holidays, put those dates into the system now rather than remembering them on the night.

What should be on your Christmas EPOS checklist?

1. Build the festive menu now and schedule it

Add festive dishes, set menus and seasonal drinks in October, then set them to appear when you need them. Most modern EPOS software, including ICRTouch TouchPoint, lets you hold alternative price levels and menu layouts ready to switch on.

  • Give every festive item its own button. Open-price keys make your reports useless because you cannot see what actually sold.
  • Set up the modifiers your team will need, such as “no pigs in blankets” or “gluten-free gravy”, so nobody types notes by hand.
  • Check that each new item is linked to the right stock and the right kitchen printer or screen.

2. Check the allergen information on every new dish

Festive specials are the dishes most likely to change late, often because a supplier substitutes an ingredient. Make sure the menu, the kitchen and the till all say the same thing. We covered what the Food Standards Agency now expects in our guide to allergen information and your EPOS.

3. Set up seasonal staff properly

Every temporary worker should have their own login. Shared logins make voids, refunds and no-sales impossible to trace, and December is when those numbers tend to climb.

  • Give new starters the lowest permission level that still lets them do the job.
  • Keep voids, refunds and discounts for supervisors.
  • Make a note to disable seasonal logins in January.

If you have ever wondered where margin goes during a busy month, our post on EPOS stock control and shrinkage explains how miskeys and free pours show up in the figures.

4. Train in a quiet hour, not on the busiest Friday

Run practice orders on a quiet afternoon, with the festive menu live, so new staff have pressed every button before it matters. Ask your EPOS provider how to keep training sales out of your reports.

5. Get card machines ready for volume

December brings more transactions, bigger bills and more people wanting to split them. Before the rush:

  • Charge every handheld terminal overnight and check the battery lasts a full shift.
  • Check the terminal falls back to 4G if the Wi-Fi drops. Devices such as the Dojo Go have mobile connectivity built in.
  • Test the link between till and terminal. With integrated payments the amount is sent automatically, so nobody has to key it in.
  • Keep a charged spare behind the bar.

6. Route kitchen orders for the festive menu

Set menus fire in courses, and a table of 30 can bury a kitchen if every ticket lands at once. Put a full party order through from start to finish and watch what prints, or appears on screen, at each section. Our comparison of a kitchen display system and paper tickets covers how course timing works on screen.

7. Order consumables before suppliers close

Running out of paper on a Saturday in December is avoidable. Look at how many rolls you got through last December and order with room to spare.

  • Till rolls for receipt and kitchen printers
  • Ink ribbons if your kitchen uses impact printers
  • Card machine rolls, if your terminals print customer copies

8. Check the network under load

A full room of customers on guest Wi-Fi can slow everything that shares the same connection. Tills, handhelds and card machines should sit on their own network, separate from customers. Our guide to business Wi-Fi for hospitality venues explains how to split them.

9. Schedule your screens

If you use digital menu screens, set the festive content to start and finish on fixed dates so nobody has to remember on 2 January. Liverpool’s Lobster Pot uses cloud-managed screens to switch late-night pricing and promotions, and the same approach works for a Christmas menu.

10. Know who to call

Save your support number in every manager’s phone and pin it by the till. CCR Systems customers can reach us on 0151 644 8296, and we often diagnose and fix problems remotely within two hours. Our customer support page has the details.

When should you send us your Christmas menu changes?

As early as you can. Menu and price changes for tills, self-service kiosks and digital screens tend to arrive in the same fortnight in December. Sending yours in October or November means they are built, checked and scheduled before the queue forms.

Email contact@ccrsystems.co.uk with:

  • Item names exactly as you want them to appear
  • Prices, including any bank holiday or late-night prices
  • Which tills, kiosks or screens each item should appear on
  • Start and end dates
  • Allergen information for every new dish

What should you look at in your reports after Christmas?

The festive weeks are your best data of the year. In TouchOffice Web, or whichever back office you use, look at:

  • Which festive items sold, and which barely moved
  • Sales by hour, so next year’s rota matches the real peaks
  • Voids and refunds by staff member
  • Set menu uptake against Ă  la carte

Pulled together in the first week of January, those figures shape your January menu, your rota and next year’s festive plan.

Frequently asked questions

  • When should I start preparing my EPOS for Christmas?
Start in October. That leaves time to build and test the festive menu, train seasonal staff and order consumables before suppliers and support teams are at their busiest.
  • Can I change my till prices just for Christmas?
Yes. Most EPOS systems let you set up alternative price levels or menus and switch them on for set dates or times. Building them in advance avoids changing prices by hand on a busy night.
  • Should temporary Christmas staff have their own EPOS login?
Yes. Individual logins let you see who made each sale, void and refund. Give seasonal staff limited permissions and disable their logins when they leave.
  • How many till rolls will I need over Christmas?
Check how many you used last December and add a margin for busier trading. Order early, because deliveries slow down in the last fortnight before Christmas.
  • What should I do if my card machine stops working on a busy night?
Check whether it has switched to 4G, swap to a charged spare if you have one, then call your support line. Never write down customers’ card numbers to process later.

A calmer December starts this month

Nothing on this list is complicated. It just takes time that you will not have in December. Finish it in October and your team walks into the busiest weeks of the year with a menu that is built, staff who know the till and a system that has already been tested under pressure.
