When the Card Machine Freezes at 8pm, It Is Almost Never the Card Machine
A queue four deep, a handheld that will not send the order through, a card terminal spinning on “connecting” and a customer who has now been standing there for ninety seconds. The instinct is to blame the terminal. In our experience across four decades of installations, the terminal is usually working perfectly. The connection underneath it is not.
Modern hospitality technology has quietly become a network problem. Your EPOS system talks to the cloud. Your card machines authorise over the internet. Handhelds, self-service kiosks, digital signage, CCTV and your booking system all depend on the same pipe. So does every customer in the building watching video on the guest Wi-Fi.
Business Wi-Fi for hospitality venues exists to stop those two things competing. It separates the traffic that earns you money from the traffic that merely keeps customers happy, and it puts coverage where people actually stand.
Why consumer broadband fails a busy venue
A domestic router in the corner of the office is designed for a family home: a handful of devices, spread over two floors, in a building made largely of plasterboard. A licensed venue is a different physical and technical problem entirely.
Device density, not building size
The number that matters is not square footage; it is how many devices are trying to connect at once. A hundred-cover restaurant at full sitting might have five handhelds, three tills, four card terminals, two kiosks, four signage screens, eight cameras and a hundred and forty customer phones all in range. Consumer access points start dropping connections long before that.
Thick walls and awkward layouts
Pubs and clubs are frequently old buildings: stone, solid brick, cellars below ground, snugs and function rooms off a central corridor. Signal does not travel through that the way it travels through a modern open-plan office. Coverage has to be designed, not guessed at, which is why a predictive heat map and site survey come before any hardware is quoted.
Everything shares one connection
This is the failure that costs money. When guest devices and trading devices sit on the same flat network, a busy Friday night of customer streaming can starve your card terminals of bandwidth at exactly the moment you need them most.
The single most important change: separate the networks
Proper business broadband and Wi-Fi installations divide traffic into separate logical networks (VLANs) with firewall rules between them. In a typical hospitality configuration that means:
- A trading network for EPOS terminals, handhelds, card machines, kiosks and printers. Prioritised, isolated and never visible to guests.
- A guest network for customer devices. Internet access only, with bandwidth limits so no single user can saturate the line.
- A management network for CCTV, access control and back-office machines.
The security benefit is as significant as the performance one. A customer device on your guest network should have no route whatsoever to a till. Separation is what guarantees that.
What good coverage looks like in practice
Coverage is designed around where transactions happen, not where it is convenient to mount a box:
- The bar and the pass: the highest-density points in the building.
- The full dining floor: handheld ordering only saves time if it works at every table, including the awkward one by the stairs.

- Function rooms: often the last place anyone tests, and the first place a wedding party notices.
Resilience: what happens when the line drops
No connection is immune to failure. The question is what your venue does in the ninety minutes before an engineer arrives.
Failover
A secondary connection, typically 4G or 5G, that takes over automatically when the primary line fails. Card authorisation and cloud EPOS keep running. Most operators discover they needed this on the one Saturday they did not have it.
Offline capability at the till
Well-specified EPOS software continues taking orders locally when the connection drops, then reconciles when it returns. This is worth confirming for your specific setup rather than assuming, and it is one of the things we cover in a review of your till, payment and support setup.
Cabling as the foundation
Wireless is only ever as good as what feeds it. Access points, cameras and fixed terminals should be on structured data cabling back to a central switch. Daisy-chained extenders and powerline adapters are the single most common cause of the intermittent faults we are called out to fix.
The commercial case for guest Wi-Fi
Guest Wi-Fi is not only a courtesy. A captive portal login can capture marketing consent and email addresses, feeding your loyalty scheme and building a database you own rather than rent from a social platform. Dwell time also rises where connectivity is reliable, and longer dwell time in a food-led venue tends to mean another round.

- How many access points does a pub or restaurant need?
It depends on floor area, building construction, layout and device density, not on a fixed rule of thumb. A single-room bar might need two. A multi-room pub with a garden, a function room and a cellar might need six or more. The accurate answer comes from a predictive heat map and an on-site survey, which prevents both over-specifying hardware and living with dead spots. - Can business Wi-Fi handle a full venue on a busy night?
Yes. Enterprise-grade access points are built for high device density and will hand devices between access points as people move through the building. This is the main practical difference between commercial hardware and a consumer router. - Should my EPOS be on Wi-Fi or on a cable?
Fixed terminals should be cabled wherever possible, because a wired connection removes an entire category of fault. Handhelds and kiosks use the trading Wi-Fi network. Most venues end up with a mix. - Will separating the guest network slow customers down?
No. It limits guests from consuming all available bandwidth, which in practice makes the guest experience more consistent, not worse. What it protects is your ability to take payment. - Do I need business broadband or is consumer broadband enough?
Business broadband typically brings better service level agreements, faster fault response and a static IP where remote access is needed. For a venue where a full day offline means a full day of lost trade, the difference in monthly cost is usually smaller than a single lost service.
