Who Is Actually in Your Building? Access Control Systems for Pubs, Bars and Clubs
Every licensed venue has doors that should not be open to everyone. The cellar. The office where the safe lives. The stock room, the plant room, the committee room, the function suite that is booked out on Saturday but should be locked on Tuesday. In most pubs and clubs, all of those doors are still protected by the same technology used in 1890: a metal key on a ring in somebody’s pocket.
That works right up until it does not. A key goes missing, a member of staff leaves without handing theirs back, or a bunch of keys is copied at a cutting shop for four pounds. At that point the only genuinely secure response is to change the locks, re-cut a set for everyone who still needs access and hope you have not missed a door.
Access control systems for pubs and clubs solve this by replacing physical keys with credentials that can be switched off remotely. A card, fob, keypad code or smartphone opens the door, and every use of it is recorded. If a credential is lost or a member of staff leaves, you disable it in seconds and nobody needs to touch a lock.
What is an access control system?
An access control system is an electronic method of managing who can open which doors, at which times. In place of a lock and key, a reader is fitted beside the door and connected to a controller. When a valid credential is presented, the door releases. When an invalid one is presented, it does not, and the attempt is logged.
A typical hospitality installation from CCR Systems is made up of four parts:
- Credentials: proximity cards, key fobs, keypad codes or a smartphone app carried by staff and, in members’ venues, by members.
- Readers: the unit on the wall beside the door, indoor or weatherproofed for outdoor use.
- Door hardware: maglocks or electric strikes that hold the door and release it on a valid read.
- Management software: where you add people, set permissions, apply time rules and pull reports.
Why pubs, bars and clubs specifically
The cellar is the highest-value room in the building
Stock loss in licensed premises rarely happens at the bar in front of customers. It happens where the stock is kept. An access control system restricts cellar entry to named individuals and records every entry with a date and a time. When your EPOS system shows a variance between what was poured and what was sold, you now have a second data set to compare it against: who was in the cellar, and when.

Staff turnover in hospitality is high
Hospitality has one of the highest staff turnover rates of any UK sector. If every leaver triggers a lock change, the cost is unmanageable, so most venues simply do not do it and quietly accept the risk. With access control, a leaver’s fob is deactivated on their last shift. The physical fob becomes a worthless piece of plastic the moment you press the button.
Members’ clubs need to prove who is on site
For sports and members’ clubs, access control does double duty. It secures the back of house, and it manages member entry to the club itself. A member presents their card at the door, and the system confirms their membership is current. What time-based permissions actually do for you
The feature that operators tend to underuse is scheduling. Access control is not simply on or off; it can be conditional on time.
- A cleaner’s fob works between 6am and 9am only, and nowhere near the cellar.
- A bar supervisor can open the cellar during trading hours, but not at 3am.
- A function room unlocks automatically at 7pm on the night of a booking, then locks itself again.
- The office door refuses every credential except two, at any hour.
This is the shift in thinking. Keys grant permanent, unconditional access to anyone holding them. Access control grants specific access, to specific people, at specific times, and tells you afterwards what happened.
The audit trail is the underrated part
Every read, successful or refused, is timestamped. That log becomes useful in situations that have nothing to do with theft:
- Insurance and liability: demonstrating that a plant room or chemical store was genuinely restricted.
- Health and safety: establishing who was in a given area before an incident.
- Disputes: settling a question about whether a delivery was accepted or a room was opened.
- Licensing: showing a responsible, documented approach to controlling parts of the premises.
Does access control need new cabling?
Usually yes, at least to the doors being controlled. Readers and door hardware need a data and power run back to the controller. This is why access control is best specified alongside your wider network rather than bolted on afterwards, and why CCR Systems handles data cabling as part of the same project. Getting the cabling right at the outset also leaves headroom for cameras, additional readers and future door positions.

- How much does an access control system cost for a pub or club?
Cost depends on the number of doors, the door hardware required and whether cabling already exists. A two-door system securing a cellar and an office sits at the lower end; a full members’ club installation with external entry, multiple internal doors and integration to the till is a larger project. Access control installations are designed to fail safe on fire alarm activation, releasing doors on escape routes so the building can be evacuated. Battery backup keeps controllers running through short power interruptions. Both are part of the design and commissioning process, not optional extras. - Can staff use their phones instead of a fob?
Yes. Smartphone credentials are supported and are often preferred for managers and key holders, because a phone is less likely to be lost than a fob and can be revoked just as quickly. - Do I have to replace all my doors?
No. Most existing doors can be retrofitted with a maglock or electric strike. Fire doors and external doors need particular care to remain compliant, which is assessed during the site survey.
